Accounts Payable Coordinator

We currently have an opening for a Full Time and a Part Time Accounts Payable Coordinator to join the Finance Team in our Gastown office on a 14 month maternity leave contract.


Reporting to the Controller, the Accounts Payable Coordinator will be responsible for the safeguarding, allocation, and record keeping of all expenditures, including processing and tracking of expenditures within the financial systems. This is a high-volume AP role.


Primary Responsibilities:

  • Review and match all invoices and expense claims to ensure approval exists before processing.

  • Ensure invoices and expense claims are processed in a timely fashion within payment terms.

  • Scheduling and preparing cheques; resolving purchase order, contract, invoice, or payment discrepancies and documentation; ensuring credit is received for outstanding problems; issuing stop-payments or referring to Purchasing any purchase order discrepancies for review and/or re-authorization.

  • Verifies vendor accounts by reconciling monthly statements and related transactions.

  • Serve as the first point of contact for vendors and respond to their inquiries.

  • Ensure all accounts payable transactions are completed for timely preparation of month-end reports.

  • Be responsible for financial record keeping for accounts payable.

  • Monthly corporate credit card reconciliations.

  • Support the implementation of electronic storage and centralized payables delivery.


Our ideal candidate will have:

  • A minimum 1 year of related accounting experience including accounts payable is required.

  • A Diploma in Accounting or Finance is required as there needs to be a basic understanding of accounting principles.

  • The ability to maintain a high level of accuracy, organization and attention to detail.

  • Proficiency with Microsoft Excel and Word and experience with accounting software.

  • Effective oral and written communication, interpersonal and customer service skills.

  • Effective planning, organizational and project coordination skills.
